Data Destruction Processes are Subject to Regulations and Audits
Disposing of technology assets is a highly regulated activity. 25 States have environmental regulations requiring that to-be-disposed of electronics be recycled with an authorized recycling facility. 48 States have identity theft laws that require personally sensitive information be destroyed prior to the disposal of the media the information was recorded on. The federal government has strict data privacy laws covering both the healthcare and financial industries.
With regulations come audits, both internal and external. The key to passing regulatory audits is the availability of detailed records.
Web-based Compliance Library for Data Destruction Compliance Documents
5 years ago we introduced a web based records archive for the compliance documents we generated for our clients technology disposal projects. There were two motivations for this effort.
- We regularly got calls requesting disposal documentation from clients that lost the employee responsible for the projects.
- We sent our project documentation to the project contact that was not typically a manager. We were concerned with the proper distribution of the compliance documents and the appropriate filing of the documents.
We did not foresee the regulatory and legal requirement that organizations must be able to prove that they consistently and routinely follow their data destruction policies across their entire operation.
